There are three ways to book a viewing - from the calendar, the buyer/tenant profiles or from the property page.
Calendar
Click Calendar
Choose a day
Choose a time
Click Viewing Appointment
Complete the viewing information
Other than the usual bits to add, here are some notes about this screen we hope you find helpful:
Search for the applicant - the applicant must have a search profile to be found here. If you do not find who you are looking for, please go to the contact profile and fill out the search profile. You can book a viewing directly from the contact profile once you have created it as well.
You can add multiple users to each appointment by clicking on the person with the plus sign icon. The appointment will show on all selected users calendars.
Viewing Appointment statuses - leave this blank when creating the appointment and come back in to edit as needed - cancelled, no show etc.
When you add a contact and property, tick buttons for the VBLT (vendor, buyer, landlord, tenant) confirmation. The tenant will appear if you have added a tenant to the property details.
Once you create the appointment, you will be able to send a confirmation.
The viewing has been booked!
Buyer Tenant Profile
Click Contacts
Search for and choose the buyer or tenant you want to book the viewing for
On the contact detail page, about halfway down, click Search Profile
Click on Matched Properties and then book a viewing
A pop up will appear for you to fill in details of the viewing
Branch and Appointment For: branch and valuer or user who will attend the viewing
Event Start Date: day and time of the appointment
Type: Face-to-face or online
Duration: time planned for the viewing (default is 15 mins)
Note: internal note only not client facing
Notifications for vendor, buyer, landlord and tenant: tick these when you have notified them
Click create to book the viewing
The Viewing will then go into the Viewings tab and the calendar
