When you have been instructed on a property in Lifesycle, you will have the option to send out a PIQ form to the Vendor. To do this, simply go to the overview f the property, find the PIQ section and click 'Send the Form'.
You will then get the option to send an email to the vendor asking them to fill out the property questionnaire with the link to the PIQ form attached.
You will see at the top of the email it will give you an option to select a 'Task User'. When you select a user here, it means that the task that is created once the PIQ is completed will be assigned to this person.
This option overrides who you have chosen to select the task in automations.
If no user is selected here when sending out the email, then the task will be assigned to whoever is chosen in automations.
When you are ready to send out the email, press send.
The vendor will then receive this email, and when they click the link it will take them to the PIQ form.
When contacts press 'Continue' they will be shown a disclaimer which gives them more details of the form reminding them that information needs to be accurate and filed out from the owner of the property.
Once contacts click 'I understand, Let's start' they will then proceed to fill out the form.
PLEASE NOTE: As the contact fills out the form they will have the opportunity to upload supporting documents to their answers. The maximum size per file is 25mb.
As the form is gradually completed by the vendor, you will see the vendors progress on the overview of the property, and be able to preview the current response from the vendor.
Vendors can come back to the form whenever they choose to continue, you can re-send the link if needed, it will continue from wherever they left off. Whilst filling out the form, contacts will be able to add supporting documents to certain questions.
As the contact comes to the end of the form, they will be asked to digitally sign the form asking them to ensure the form is filled with accurate information. This document will be signed with 2 factor authentication, (a code will be sent to the mobile number of the contact via SMS) and then they will add their signature.
If needed, you can also grab the declaration signature code from the timeline and pass to the contact another way if you wish.
You can see the progress of the form and preview it on the property profile.
First, you should preview the form and the files to make sure all the necessary questions have been answered, and that the supporting documents are correct.
Then you can approve.
A pop up will show to make sure you confirm this approval. As no changes can be made once this form is approved.
You will then see that the form is completed and that you can download it and all supporting documents from the Media tab on the property profile under 'PIQ files'. Simply click the files to download them to your device.
All PIQ forms and files will also be transferred over to the sales progression once you have an accepted offer on a property.
