What are 'My Templates' and how do we access them?

First of all, go to Marketing and Autopilot >> Mail Templates.



You will then come straight to the 'My Templates' Section of Mail templates.



To access your System Templates, click the tab next to My Templates.



So what are System Templates?

System templates are all the email templates that go out to contacts when triggered by a certain acton in the system.

Here is a list of a few of the mail templates that you will find in System Templates:

MA Appointment Confirmation
Viewing Confirmation
Viewing Feedback Request
Heads Up Property Alert
SOLNY
Offer Emails (pending/accepted/withdrawn/rejected)

When you look through the main System Templates Page, you will see that the Emails are split up in to sections, based on what they are related too. On the right you will see how many templates are in each section.



To look at the templates inside a section in more detail, simply click on the arrow on the right of the section.



You will then see all the emails in that particular section, and again, how many different templates you have for that particular email. It's possible you may have more than one template for a particular email. As you may have cloned an existing template, edited it, and then selected that clone as your default template.



To look at the templates in more detail, again, click the arrow on the right.



You will then see the templates related to that particular email listed below.



We can see we have 2 templates for this particular email, but the lower one is showing as the default. This means that when the 'Appointment Created' Email goes out, the lower email template marked 'Default' is the email that will go out.



To switch the default template that will go out when this email is sent, simply click the grey toggle on the email you wish to select as the default.



To edit or clone a System Template, click the three dots on the right.



IMPORTANT NOTE

If you are making a small change to a default System Template, then it would be OK to go in and edit the design whilst it is still functional.

However, if you are planning quite a big change with the system template it is recommended that you clone the default, and make the changes to the clone.

This way, as you are still creating the email template, the original can still be sent out from the system.

Once you've completed your changes on your new template, then you can set your new template to be the default and it will switch once everything has been completed.

If you decided to edit the original and make large changes and you don't complete it in time and have to come back to it, then your team could be unknowingly sending out a half finished email.
