CRM Stats - Understanding them.

To access CRM stats, first go to statistics >> CRM stats as seen below:

When you enter CRM Stats, the first thing you will see is the time machine. You can select any date here and it will show you the stats as they were on that particular day.

Then you will see a list of tables with different information. Let's go through these one by one.

Viewings Booked

In the viewings booked stats, you will see a list of booked viewings in a table with a list of branches down the left hand side.

Click on any number in the table to go to a list of the viewing details.

Viewings

See the stats of Confirmed, Unconfirmed, reported (feedback) or unreported (feedback) by clicking on any of the tabs marked below. Click on the number to see the list of people/properties booked.

When you click on the branch anywhere in the CRM stats, you go to a new page where all the CRM stats for that particular branch are broken down by user.
New Buyers
In the new buyers stats, you will see a table with a list of branches down the left hand side.

From here we can see everyone who has registered as a buyer.
If we click 'Online' we can see everyone who registered through the property search website.

If we click 'Offline' we can see everyone who was entered in to Lifesycle manually.

Now if we want to access a certain list of contacts just simply click on any number you see. For example, if we want to see the list of people who registered online, this week, to the Torquay branch, simply click 'Online' find the Torquay branch and move across to 'Week' as seen below:

From here we can see the list of contacts that registered online this week in the Torquay branch and go into the contact profile.

Pipelines

On the right of the new buyers table, there is a pipeline table composed of branches and fees.

We can also see that we have the option to select All/SSTC/Exchanged/Completed.

Now that we've changed to SSTC we can see that the figures inside of the table have changed. Let's take a look at what these figures mean.
Count - The total number of properties which have hit SSTC this month.
Net Fee - The total net fee of the properties which have hit SSTC this month.
VAT - The total VAT of the fees which have hit SSTC this month.
Gross - The combined total of the net fee and VAT on properties which have hit SSTC this month.

Now let's imagine we want to see a specific list of properties. SSTC properties from the Istanbul branch for example. All we have to do is choose SSTC, find Istanbul, and move across to count and click.

When this number is clicked it takes you to the list of these particular properties, and we can see the vendor and buyer status, and click the 3 dots on the right then click detail to go in to the sales progression.

In this list of properties, we can see the figures from the table on the previous page on the to right of the screen, we can see the offer and expected commission of each individual property, and we can also click to go through to the sales progression of that particular property.

MA Appointment Booked

Underneath the new buyers table, you will see the MA Appointment Booked table.

This is pretty self explanatory, it shows us how many MA appointments have been booked for each branch and at what time. You have the option to choose Attended, Cancelled or Upcoming appointments.

When you click on the branch anywhere in the CRM stats, you go to a new page where all the CRM stats for that particular branch are broken down by user. Just scroll down this page a little to see list of who booked the appointments and a list of who the appointments were booked for:

As before, too see a list of these properties just click on a number in a table, for example, lets say we want to see the appointments booked for the month from the Istanbul branch.

We can now see this list of properties and their current status, as if we were in the property search page.

Instructed Us

Next to the MA appointment booked table is the Instructed Us table. Another self explanatory table, that identifies how many properties you have been instructed on from each branch and at which time.

To see the list of properties, as before just click the relevant number and you will see that list of properties, exactly the same as the MA appointment booked table.

Sold STC

Next we have the Sold STC table, this shows us which branch made properties SSTC that are expected to complete (not fallen through) and in what time frame, with the total fees next to each time frame.



Fallen Through

Next we have the Fallen Through table, this shows us which branch that have properties that have fallen through and in what time frame, with the total fees next to each time frame.


Just like MA appointment booked and Instructed us, when you click these figures, it takes you to that particular list of properties as though you were in the property search page. Click on the branch to go the details broken down per user.

Exchanges
This is just like the Sold STC table, however it shows us what properties have exchanged, in which branch, what time frame, and again it shows us the total fees next to each time frame.

Again when you click on a particular figure, this shows you the list of properties as though you were in the property search page. Click on the branch to go the details broken down per user.

Withdrawals

This shows us how many properties have been with drawn from which branch, and which time frame. Again, click the figures to see the list of properties as though you were in the property search page. Click on the branch to go the details broken down per user.

Offer Received

This shows us how many offers have been received by each branch, and what time frame.

When clicking the figures, this takes us to a page which lists the properties, and shows the offer that was received and its current status. You can also click the 3 dots on the right to see the offer in more detail.

Price Reductions

This table shows us properties that have been reduced in price, in which branch, and what time frame.

When clicking a figure, you are taken to the list of relevant properties as though you were on the property search page.

Now, these stats are for your agency as a whole, with a break down of each branch. To see your individual branches in more detail, just click on any branch name that you see in any table to look at that branch in more detail.

When you do this, you will see much more detailed stats on the branch where it is broken down per user in this particular branch.

First of all we can see the same property pipelines, but now they are separated by users and further split by negotiators and valuers in this branch.

Next we have viewings split by users. At the top we have viewings, and who they where booked by.

Then we have viewings attended and who they were booked by.

Then we have viewings booked, and who they were booked by.

Then we have viewings attended and who they were attended by.

Next we have new buyers, withdrawals split by users.

Next we have Ma's booked for and booked by side by side.
